Minutes of Annual General Meeting held at Clubrooms

Minutes of Last Annual General Meeting: Matters arising
Club rules have been amended so that committee can be 5-10 additional to Prez, Tres and Sec

Annual Reports:

PRESIDENT REPORT: Paul Christophers

I am pleased to present my report as President for the last 12 months. Thankyou to for coming along this evening and supporting your club. Thankyou to the committee, and all the people who contributed in making 2009/2010 a successful year for the club.
Pres’s night – Fridays during daylight saving – will be on again this year. It is the board riders aim to have the club open most Fridays over the daylight saving months to create a profile in the community. Any volunteers to help with Friday nights would be greatly appreciated.
Due to the summer/early autumn months being rather busy the annual cricket test between us and the townies was played on a rather overcast day in May, Sunday 23rd to be precise. This was in response to some correspondence from the townies suggesting that we should forfeit the shield for not responding to their early summer challenge. As you can see the shield has been returned to its rightful position (duly sign written) after we gave them a solid lesson in fielding. They are now starting to snivel about getting too old to play, so we could see some negotiation in player criteria before the next match.

The club entered a team in the Townies quiz night challenge last Saturday evening, only to be beaten into second by 1 point, there was talk it was rigged, if only to get us back next year.
Membership has remained at around 150, we are attracting some young/family memberships with our junior surf program, and Sunday morning junior completion on the last Sunday of each month.
We have secured funding to run coaching courses for our club members. This will take place over the summer months. We have also secured funding, and purchased some new training boards, which are available for club member’s use.
Club usage has also been steady over the past 12 months, with a wide array of functions being held here. Once again I have to re iterate that we do not accept 18th birthday, or underage party bookings.
The club is available for hire $200.00 for non members and $50.00 for members. Call me on 06 7527126, or 027 4065654.
Community organisations using the clubrooms have slipped back to just the belly dancing lessons each Thursday. If you know of any community based organisation looking for space, get them to contact me. The clubrooms are available at an hourly rate.

Our annual mid winter dinner was in the form of a pot luck on Saturday 19th June. A small but enthusiastic crew showed up for what was a very enjoyable evening. The Flies had booked the Old Boys Club on the same night so there was plenty of action on both sides of the road.

Surf Competitions:
The season started with the Taranaki Interclub champs March 6th. A great fun event held at back beach in 2 – 3ft clean conditions. Unfortunately we were only able to manage 3rd this year. Plenty of room for improvement. This was followed by the club champs which kicked off Saturday March 20th with all the junior divisions being run on the beach, as usual we had a great turnout of groms. The senior divisions were delayed until Sunday 28th March due to lack of surf, and for the first time in years the beach proved the best spot. Once again Tyler Anderson took top honours.
Then starting April 10th we had the Women’s Festival of Surfing, which included the WCT event. What a fantastic week of surfing, which was thoroughly enjoyed by everybody that got along to the events. Surfing Taranaki, Mike Hareb, and Craig Williamson are to be congratulated on making this event happen, and as a club we were proud to be involved. The event is set down to take place again next year, and I am sure it will be a huge success, despite some grumblings from a dissatisfied minority. Next on the calendar was the Taranaki Champs, this is held on or as close to International Surf Day June 20th. The event was held at Back Beach in clean 2 – 3ft peaky waves. I would like to see a bit better representation from our club, so maybe for 2011 we get a team together and really go after some titles.
Last but by no means least the club are running a junior comp the last Sunday of each month, this is to keep the younger members of the club involved, and hopefully inspire some of them onto greater things.

Club Improvements:
Along with the new TV we have updated our sound system, and incorporated it all together so that control is from the kitchen area. Completing our purchases this year we have upgraded our vacuum cleaner, and microwave.
We have also taken possession of a number of boards of all shapes and sizes, and are also the proud owners of a signed Paige Hareb board. Donations, especially local brand boards will be greatly appreciated.
Skate park extensions have been put on the back burner, due to financial constraints.
As a club we need to maintain and enhance our premises.

Developments in the Surfing Community:
Surfing Taranaki has had another good year. Mike Hareb was elected President for a second term at the recent AGM, and Craig Williamson was re employed as Executive Officer for another year, and I will be Oakura Boardriders Rep for the next year.
Surfing Taranaki once again will host The Women’s Festival of Surfing and Oakura Boardriders will once again be offering support.
The other initiative Surfing Taranaki has organised is an elite coaching clinic for our region’s top surfers. This set down for September and Surfing Taranaki is currently calling for nominations for these courses.
Finally I would like to thank you all for attending.
A special thank you to Brent Anderson, and Philli Butt for their monthly contribution to TOM. It really gives our club a positive profile in the community. And a huge thank you to Philli for arranging and running our junior clinics that ran twice a week for 6 weeks, earlier this year, and for coordinating our Sunday morning comps. Also to our secretary Paul Lobb, and again to Brent/Jan Anderson for covering the treasurers position.
Thankyou all, and I would like to apologise to anybody and for anything I have omitted from this report.


FINANCIAL REPORT: Brent Anderson
Brent was not present but sent a report to be tabled
Financial year, 1st July 2009 to 30th June 2010.

We have just received the audited Financial Statements from our accountant, Steve Novak this afternoon so we have not had time to fully digest it but, The Oakura Boardriders Club income over the last year was up $2,226 overall from the previous year. Donations and club hire increased considerably but all other sources of income decreased with the most noticeable item being that of Drink and Food, a reduction of $1,650, a decrease of 35%.
The club overall spent slightly more from the previous year with general rises in most items such as power, but Repairs and Maintenance doubling from $814 to $1612. While the Drink and Food expenses were 33% lower than the year before it is noticeable that the income resulting from sales in this area were almost the same and in fact did not cover costs.
However, this year we can announce that we had an excess of income over expenditure of $1,849 building on the small $7 profit of previous year. Also good to see the losses of previous years are hopefully well behind us.
As at 30th June 2010 the club had $11,767 in current assets with the total assets at $30,141. As a club we have no liabilities.
Our annual financial records were audited by Steve Novak and I recommend we send a note of thanks to him as his continued support is very much appreciated.
It is in my opinion that although it is good to see the club build on his funds and also noting that it is not generally our intention to make a profit, due to the various events the club has been involved with this year it should perhaps be in a stronger position. We do need to keep our focus of the financial control of any events as a responsibility to our members.
Lastly, once again I am sorry I will miss the AGM but I am happy to continue on as the Treasurer if my services are required.

There was one query on the accounts – why is bank interest down when we appear to have more money in the bank?

General Business:
A sub committee was formed to look after 20year celebrations which are due next August 2011. Mike Christiansen, Peta Day, Paul Lobb, Gordon Blyth, Chris Davies, Fiona Turner, Phili Butt

The purchase of the clubhouse from NPDC was discussed and a motion was put by Mark Braddock, 2nd Chris Davies that the committee proceeds with negotiations with NPDC. This was passed by those attending.

David Marshall spoke about standing for Taranaki regional Council and one of his concerns is the protection of foreshore and local interests.

Interclub contest – suggested that selection of heats should be same category – that is women should surf against women, junior against junior rather than current mixed heats
